Terms of Service
The short version: you approve every word, your data stays yours, you can cancel any time, and there’s a 30-day money-back guarantee. The full terms are below.
Effective date: October 9, 2026
Who these terms are with
These terms are the agreement between you and Chartside (“Chartside,” “we,” “us”). They cover the Chartside app for the Mac, this website, and anything you buy or sign up for here. By creating an account, joining the early-access list, buying a subscription, or using Chartside, you agree to them. If you don’t agree, don’t use Chartside.
What Chartside is, and isn’t
Chartside is a dictation and charting assistant for clinicians. It turns your speech into text, drops in your Dot Phrases, and can remind you what your documentation already supports.
It is a writing and tracking tool. It is not a medical device, and it does not give medical, coding, billing, or legal advice. Copilot suggestions describe what your own documentation appears to support so you can capture documented work accurately; they are not a recommendation to document, code, or bill anything beyond what actually happened.
You stay in charge of the chart
You approve every word before it lands in a note. Speech recognition can mishear, especially drug names, doses, and numbers. Chartside marks a word it didn’t catch instead of guessing, but you are responsible for reading what is inserted and for the accuracy and completeness of your documentation. Your clinical judgment, your professional obligations, and your organization’s policies are not replaced by anything Chartside does.
Who can use Chartside
- You are at least 18 and a clinician who writes provider-level notes (MD/DO, NP, PA, resident, fellow), or you are otherwise authorized to use Chartside for your work.
- Your account is for you. Don’t share your sign-in. A group license for a department is available by email.
- You are responsible for what happens under your account, and for using Chartside in line with your employer’s policies.
- Chartside runs on macOS. Windows is not available yet.
Early access
Until Chartside launches, the early-access list is a way to hear first. Joining it is not a purchase and not a promise of a seat. Features, timing, and pricing may change before launch. Charter seats open to the early-access list first.
Subscriptions and billing
- Chartside is one plan, billed monthly or annually. The prices are the ones shown on the pricing page when you subscribe.
- Subscriptions renew automatically at the end of each period until you cancel. Payments are handled by Stripe; we never see your full card number.
- Prices are in US dollars. Sales tax is added where required.
- If we change the price for current subscribers, we will tell you by email at least 30 days before it takes effect, and you can cancel before then.
Charter pricing
The first 25 paying members get Charter pricing: a lower monthly or annual rate that stays the same for as long as the subscription stays active without a break. Seats are limited and are given in the order people subscribe. If a Charter subscription is canceled or lapses, the Charter rate ends, and a later subscription is at the standard price.
30-day money-back guarantee, and canceling
- If Chartside isn’t right for you, email William@Chartside.app within 30 days of your first payment and we’ll refund it in full.
- You can cancel any time. Your access continues to the end of the period you paid for. Outside the 30-day guarantee, we don’t refund partial periods.
Patient information
Chartside is designed so that no protected health information is stored on our servers. Your audio is streamed to a speech-to-text service to be transcribed and is not kept, and only de-identified text is sent to the language model that polishes wording and powers Copilot. The security page explains exactly what leaves your Mac and what doesn’t.
Using Chartside does not by itself satisfy your or your organization’s obligations under HIPAA or any other law. Whether and how you may dictate into a given system is for you and your organization to decide. Don’t use Chartside in a way your organization’s policies forbid.
Acceptable use
Don’t use Chartside to break the law, to harm others, or to interfere with the service. Don’t try to reverse-engineer it, resell it, or get around its limits or its billing. Don’t share, sell, or publish your sign-in.
Your content and ours
What you dictate and write is yours. You give us only the permission needed to process it to provide Chartside to you. We don’t sell it. The Chartside app, website, brand, and everything we built belong to us, and you get a personal, limited, non-transferable right to use the app while your subscription is active.
Services we rely on
Chartside depends on other companies for speech-to-text, language processing, payments, hosting, and email. If one of them has an outage or changes, parts of Chartside may be slower, limited, or unavailable.
Changes and availability
We may improve, change, or retire features, and we may pause the service for maintenance. We work to keep Chartside available but don’t promise it will always be uninterrupted or error-free.
No warranty
Chartside is provided “as is” and “as available.” To the fullest extent the law allows, we make no promise that transcription will be accurate or complete, that it will fit a particular purpose, or that it will meet your documentation, coding, or compliance requirements.
Limit of liability
To the fullest extent the law allows, Chartside will not be liable for indirect, incidental, special, or consequential damages, or for lost income, lost data, or lost opportunity. Our total liability for any claim relating to Chartside is limited to the amount you paid us in the 12 months before the claim. Nothing in these terms excludes liability that can’t legally be excluded.
Ending your use
You can stop using Chartside whenever you like. We may suspend or end your access if you break these terms or misuse the service, and we will refund any prepaid period in that case unless the reason was misuse. Sections that by their nature should continue (for example, ownership, no warranty, and limit of liability) continue after your access ends.
Governing law and disagreements
These terms are governed by the laws of the United States and the state where Chartside’s operator is organized, without regard to conflict-of-law rules. If something goes wrong, email us first at William@Chartside.app. Most problems can be fixed with a conversation.
Changes to these terms
We may update these terms. If a change matters, we will tell you on this site or by email before it takes effect. If you keep using Chartside after that, you accept the updated terms. The date at the top shows when they last changed.
